Stock Reservations Across Warehouses and Channels
· PoolByte Technology

Having five units of a product in the warehouse does not necessarily mean that all five are currently salable. Some may be reserved for ordering, quality control, or allocated to another channel. Stock reservation in e-commerce is designed to separate physical stock from the promise that can be given to the customer.
Clearly define stock statuses
Write down what concepts such as on-hand, salable, committed, and reserved quantity mean in your business. Shopify stock statuses document provides an example of managing quantities in different states. Do not automatically accept the states of your own system as equal just because they have the same name as another platform.
If a marketplace and your own store sell the last available unit of the same product, the update delay is significant. Just reducing the number displayed on the page is not enough. As soon as the order is accepted, it should be determined how much stock is allocated from which source and when this decision is reflected in other channels. An overselling policy also needs to be a conscious business decision.
When does adding to cart create a reservation?
Reserving stock at each add-to-cart time can lead to malicious or unfinished carts locking up sales capacity. Not reserving any may result in the product running out during checkout. At what stage the reservation will start, how long it will last and under what conditions it will be extended are determined according to the business model of the product.
If the reservation time is displayed to the user, it must be compatible with the server decision. Changing the browser counter should not increase the time. Separately define what happens to the stock when the session is interrupted or the payment provider responds late. An order paid after its stock reservation has expired should not automatically proceed to normal fulfillment; it may need a predefined recovery process.
Multiple warehouses and split shipping
Which warehouse the product will be supplied from is a separate decision from the total stock quantity. Two items in an order may be in different warehouses. If a single shipment is promised, an appropriate allocation rule is required. Determine how quantities will be resolved in cases of warehouse change, partial cancellation, and partial shipment.
Physical count corrections may also impact order bookings. Check that the system does not reduce the allocated amount to negative or leave records inconsistent when an operator changes the total amount directly. Information about who made the correction, when and for what reason is important for support. Manually editing data should not become the only solution to business as usual.
Critical test scenarios
- Two simultaneous orders for the last available unit.
- Expired and extended reservation.
- Late payment and cancellation.
- Partial refund, partial shipping and warehouse reassignment.
- Marketplace synchronization stops.
- The product that is missing in the physical count.
Write down the expected outcome in these scenarios with the business team. Stock information on product page is only the visible face; The reservation design manages the delivery promise that can be made behind that information. The goal is not a more complex panel, but to know under what conditions an order for the product can actually be fulfilled.
